Some boxes are empty or partly completed. Depending on the instructions, you either take words from the passage or choose an answer from a supplied list. If you must use passage words, the stated maximum is absolute: an answer over the word limit does not receive the mark.

The task tests more than scanning. You must understand a passage section, recognise how the chart compresses its meaning, notice paraphrase, and select words that fit both grammar and process logic. The answers may not appear in passage order, though they usually come from one part of the text. Treat sequence as a useful hypothesis, never as permission to stop checking evidence.

Box

Names an action, material, condition, decision or result.

Arrow

Shows the relationship: next step, cause, response, choice or outcome.

Route

Shows how the whole process develops, including branches or returns.

The chart is a compressed argument. If one box says “beans are washed” and the next says “damaged beans removed”, the missing link is probably a selection or inspection stage, not another kind of washing. Meaning must travel cleanly across both arrows.

Start with arrow grammar

Before reading the passage, trace the chart from its first box to its last. Number the blanks in route order. Notice whether the path is a straight line, divides into alternatives, rejoins after two conditions, or circles back when a test fails. Printed words such as “if”, “after”, “until” and “therefore” are grammatical clues even when they sit beside an arrow rather than inside a sentence.

Now read each incomplete box with its neighbours. Ask three questions: What arrives here? What must happen here? What leaves here? Together they create what I call arrow grammar. For example, “wet fibres → ___ → dry sheets” demands an action that changes wet fibres into dry sheets. “Customer complains → ___? → refund issued” may demand a decision or verification. The grammar of the box tells you whether the answer should be a verb, noun, number, material or short phrase.

A practical IELTS flow chart strategy

  1. Read the instruction. Circle the word limit and decide whether answers come from the passage or a list.
  2. Map the route. Follow every arrow, noting branches, conditions and any return loop.
  3. Label the boxes. Mark each as input, action, condition, decision, output or result.
  4. Predict each gap. Write a small prompt such as “action on husks” or “reason for rejection”. Add the likely grammar.
  5. Choose anchors. Use distinctive completed boxes, names, dates or technical terms to locate the relevant passage section.
  6. Read the evidence trail. Follow pronouns, synonyms, sequence markers and cause-result language across nearby sentences.
  7. Insert and replay. Put the exact candidate into the box, then mentally run the process through both neighbouring arrows.
  8. Audit the answer. Check spelling, word limit, copied words, singular or plural form, and whether surrounding text is already printed.

This method separates three decisions that learners often mix together: finding the right paragraph, identifying the correct stage and copying the exact answer. A matching keyword can locate evidence, but only process logic can select the right words.

Worked example: making packaging from coffee waste

Cafés first collect spent coffee grounds in sealed containers. At the processing plant, workers spread the grounds on mesh trays so warm air can reduce their moisture. Once dry, the material passes beneath magnets that remove tiny metal fragments. It is then milled into a fine powder and blended with starch made from potatoes. The mixture is heated until it becomes a flexible paste. Machines press this paste into shallow moulds, where it cools and hardens. Inspectors test each tray for cracks. Sound trays are packed for delivery, whereas damaged ones are crushed and returned to the mixing stage.

Think-aloud evidence trail

1 warm air. The incoming state is wet grounds; the outgoing state is dry material. “Warm air can reduce their moisture” supplies both the method and exact two-word answer. “Mesh trays” is nearby but names the surface, not what performs the drying.

2 magnets. The box already prints “removed by”, so grammar predicts the agent or instrument. The passage says magnets remove the fragments. Copying “beneath magnets” would exceed what the completed box needs and would create ungrammatical wording.

3 starch. The stage is blending, and the passage states that the powder is blended with starch. “Potatoes” tells us where the starch comes from, but the arrow needs the material entering the mixture. This is a classic difference between a relevant detail and the answer to the chart’s precise question.

4 mixing. The branch matters. Only damaged trays follow this route: they are crushed and returned to the mixing stage. “Crushed” describes the action before the return, but the word “stage” after the blank asks for the destination.

Why keyword matching fails

Blank 3 sits near “potatoes”, and that word is memorable. Yet replaying the route exposes the error: material is mixed with potatoes is not what the passage says. Predicting “a substance added to powder” makes starch the only defensible answer.

Follow meaning when the passage changes the language

A chart uses short labels; a passage uses complete sentences. Expect transformations such as “is rejected” becoming “fails inspection”, “moves to storage” becoming “is set aside in a warehouse”, or “temperature falls” becoming “the liquid is allowed to cool”. Your goal is not to memorise synonyms but to preserve the action and its participants.

Track reference words too. “This residue”, “the resulting liquid” or “it” may name the output of the preceding stage. If you scan only for a repeated noun, you can miss the sentence that actually describes the next action.

Branches, loops and alternative routes

A straight chart is easy to trace, but a branch changes the question. At a decision diamond or split arrow, identify the condition controlling each route. One outcome may continue forward while another returns to an earlier stage. Do not borrow an answer from the opposite branch merely because it appears closer in the passage.

Write a tiny label beside each path: “passes”, “fails”, “dry weather”, “high demand”, or “first-time user”. Then read the relevant passage sentence for contrast markers such as whereas, otherwise, unless, by contrast and in that case. These words often reveal which action belongs to which route.

Loops usually show correction or repetition. If contaminated water goes back to filtration, the missing box may be a test result, not a treatment. Ask what condition prevents the process from finishing. This question turns a confusing circular picture into a simple cause-and-response relationship.

Common errors and practical repairs

Scanning before mapping

You find familiar words but cannot assign them to stages. Repair: trace and label the whole route first.

Reading one box alone

A candidate fits locally but breaks the next transition. Repair: use the two-arrow test every time.

Assuming perfect order

You ignore evidence above or below the current paragraph. Repair: use anchors and relationships because order is not guaranteed.

Following the wrong branch

You mix the “pass” and “fail” outcomes. Repair: label the condition on each path before searching.

Copying too much

You repeat words already printed around the gap. Repair: read the completed box aloud with your candidate inserted.

Choosing the process topic

You answer “recycling” when the blank asks what is heated. Repair: write a specific prediction prompt, not a broad topic label.

For blank 5, predict a material after “using”. For 6, the article “a” and adjective “known” suggest a singular noun. For 7, the passive structure requires a past participle describing the corrective action.

5 water. “Distilled” is printed in the passage but one word only is allowed; “water” completes the method accurately. 6 value. The standard solution has a chemical value that is already known. 7 adjusted. On the large-difference branch, the technician adjusts the instrument before repeating the comparison. Each answer preserves grammar and route logic.

Independent practice: producing neighbourhood compost

Residents deliver food scraps to a covered collection point. Volunteers remove plastic and other non-organic items before weighing the usable material. They combine the scraps with dry leaves, which create air spaces and balance the mixture. The material is placed in long piles. During the first month, staff measure the internal temperature every morning. A pile below 45°C is turned to introduce more oxygen; a hotter pile is left undisturbed. After decomposition slows, the compost rests for six weeks. Workers pass the mature material through a screen. Fine compost is bagged for community gardens, while large pieces return to a new pile.

8 non-organic. Volunteers remove non-organic items before weighing. The hyphenated form is copied exactly. 9 turned. The low-temperature branch triggers turning to add oxygen; passive grammar is required after “pile”. 10 six weeks. This is the duration of the resting stage and fits the stated limit. “First month” belongs to temperature monitoring, so it cannot travel through both arrows around blank 10.

Timing without rushing the logic

Give yourself a brief setup period: read the instruction, trace the route and predict every blank before deep reading. This often saves time because one located passage section can answer several connected boxes. Scan for the strongest completed anchor, then read a small evidence window carefully. Processes are commonly described through verbs, pronouns and sequence signals, so a single keyword line is rarely enough.

If one answer remains uncertain after about a minute, mark the predicted category and move on. Later boxes may clarify what that stage must produce. During review, replay the route aloud in compressed form. Check that every input becomes the stated output, every branch follows its condition and every answer stays within the word limit.
